Prepare daily meeting briefs
Connect the inputs
Section titled “Connect the inputs”Connect Google Calendar, the CRM, Gmail, and the system that holds support work. Add shared customer notes as a synced source. Keep personal email and calendar connections private to the member whose meetings the task reads.
Prepare one meeting brief before you schedule the loop. Check attendee identity, account matching, dates, open commitments, and source links.
Create the scheduled task
Section titled “Create the scheduled task”Ask in the conversation that should receive the briefs:
At 6:00 AM Pacific time every weekday, read my calendar for the next 18 hours. For each external customer meeting, identify the account and prepare a brief from the CRM, recent Gmail threads, open support work, and the shared customer-notes source. Include attendees and roles, account state, the last meeting decision, commitments by owner and due date, changes since the last meeting, risks, and three questions to resolve. Link each factual claim to its source. Keep each brief under one page. Put all briefs in one message in this conversation. Do not post a result if there are no qualifying meetings. Do not contact attendees or change any connected system.
The time zone is part of the task. Each morning run has its own conversation under Tasks and Runs.
Add a follow-up loop
Section titled “Add a follow-up loop”After you verify the brief loop, create a separate end-of-day task. Have it read meeting notes and draft decisions, actions, CRM changes, and follow-up email. Approve publishing in a later message.
Pause or change either task under Tasks, then Scheduled.
